Executive Assistant to the Director
Due to the expansion of our company’s activities, we are seeking a reliable, proactive, and highly responsible Executive Assistant to provide comprehensive support to the Director in managing administrative, organizational, and operational functions.
We are looking for a candidate who can effectively coordinate business processes, monitor task execution, communicate with partners and clients, and represent the Director’s interests within assigned responsibilities.
Key Responsibilities:
- Provide full administrative and organizational support to the Director.
- Organize business meetings, negotiations, conferences, and business trips.
- Prepare meeting materials, presentations, reports, analytical summaries, and commercial proposals.
- Monitor the execution of tasks assigned by the Director to employees.
- Assign tasks to responsible persons and track deadlines.
- Manage business correspondence and professional communication.
- Communicate and coordinate with suppliers and contractors.
- Collect, analyze, and structure information for management purposes.
- Prepare meeting minutes and ensure follow-up on action points.
- Maintain internal documentation and corporate reporting.
- Arrange flights, hotel bookings, transfers, and full business travel logistics.
- Represent the Director in meetings and negotiations when required.
Requirements:
- Fluency in Azerbaijani, Russian, and English (written and spoken).
- Excellent verbal and written communication skills.
- Strong computer skills (Microsoft Office: Word, Excel, PowerPoint; Google Workspace).
- Experience in business correspondence and document management.
- High level of self-organization and responsibility.
- Ability to work in a fast-paced, multitasking environment and meet deadlines.
- Strong analytical thinking and attention to detail.
- Excellent communication and negotiation skills.
- Previous experience as an Executive Assistant, Business Assistant, Personal Assistant, or Project Coordinator is an advantage.
- Experience in the tourism industry will be considered an additional advantage.
